On behalf of our client based in Forres, we are looking for an Administration Assistant to join their team. The main part of the role will be to book various/ volume travel and accommodation requests for contractors, these are subject to change so a professional and courteous approach and the ability to stay calm is essential. 

You will be positioned front of house to w elcome visitors by greeting, directing, and announcing them appropriately.   Answering external and internal calls, screen and transferring the calls, while providing basic information.  Monitoring email boxes and distributing incoming emails appropriately.   Maintaining security by following procedures and controlling access (monitor logbook)

Further d aily tasks may include: Scanning of delivery notes received from stores; updating the Materials Register and ensuring all relevant material test certs have been received and saved; scanning of completed work instruction packs when received and updating staff training records.

Printing, word processing, scanning, filing, photocopying,  Data input.  Ordering stationery and catering supplies across the site.  

Extensive experience of Microsoft Office.  Ability to pick up new skills quickly. and act on instructions  will be integral to the smooth running of this position.
